Application form for the doctoral programme
Goals
At the start of a PhD, a student should fill out an 'Request for Admission for the doctoral programme'. This form is meant to
- check if the candidate fulfils the admission requirements,
- give a short description of the planned research,
- compose an advisory committee that will do the follow up of the scientific research,
- reach an optimal composition of the advisory committee (Therefore the proposals for a doctoral research are put before all the ZAP-members of the Department of Electrical Engineering (ESAT). As such all available expertise can be used optimally, and the composition of the advisory committee is open for amendment.),
- realise an improved dissemination of information.
The first three goals are proper to the Faculty. The other ones are added by the Department of Electrical Engineering (ESAT).
Procedure
The procedure for submitting the 'Request for Admission for the doctoral programme' in the second phaze is as follows:
- The student and his promotor consult the 'Arenberg Doctoral School and Faculty guidelines concerning the doctoral programme in engineering' that are available at the Faculty's website.
- In accordance with the rules indicated here, an electronic version of the 'Request for Admission for the doctoral programme' is filled out. Since this form is used as input for the ESAT database, all necessary information has to be given on the form:
- title
- short description of the research
- promotors and assessors
- three courses with course number for which you would consider giving exercises, practica, lab sessions (in case you are already assigned to a course, provide this information on the form)
- This form is delivered in Microsoft Word format by e-mail to Lut Vander Bracht
- Guy Vandenbosch makes an elementary check on the validity of the advisory committee and puts the form on the website under the heading 'for inspection'.
- Until the indicated deadline the ZAP-members of the department can react. Based on their expertise, they can candidate for membership of the advisory committee as advisor or co-promotor. This reaction is addressed to the first promotor with whom a possible adjustment of the application form is agreed (inform Guy Vandenbosch of any adjustment).
- a) After the deadline for amending the application form, the form is moved (with or without amendment) to the list 'approved ESAT', and the student may gather the signatures of the members of the advisory committee.
b) In case there is a dispute between promotor(s) and a person submitting an amendment, G. Vandenbosch can act as a mediator. If no solution is found, the file with all its arguments moves to the head of the department. He can take an autonomous decision. Afterwards the adjusted form is moved to the list 'approved ESAT', and the student may gather the signatures of the members of the advisory committee. - The form with the signatures of the candidate, the promotor(s) and the advisors is handed in at the departmental secretariat. The secretariat places the form before the head of the department, who is always the last one to sign the form. The secretariat sends the form to the faculty. Take care, only forms approved by ESAT are signed!
- The departmental secretariat keeps a list of all doctoral students with the composition of the advisory committee, the title of the PhD and the abstract.
- Final acceptance or rejection of the advisory committee and of the application form is done by the doctoral committee of the Faculty of Engineering (presided over by the vice-dean)!

Some remarks
- The 'gastdocenten' have not been explicitly mentioned in the regulations of the faculty, but they are treated in principle just as the part-time lecturers.
- However, there are a few exceptions. Following a decision at faculty level a number of persons are allowed to act as promotor without a co-promotor. The list can be found here. Also when they are member of an advisory committee, they are treated as being full-time ZAP-member of the KU Leuven. Other persons with this status are S. Lomov (MTM) and L. Verpoest (ASRO), as proposed by FDC 2004-03-01.
